In the event of your qualification for participation in Aspen Surveys you consent to having your Company/Organization, Job Title, City, State/Province and Country shared publicly as an element of the Survey Results. Spotlight To receive the complimentary Aspen Spotlight you are required to subscribe by providing your Email Address and Country. As a subscriber, you agree to receive commercial electronic messages from Aspen Brook, affiliates and sponsors. Including information about products and services, invitations to events, industry updates and other communications. You understand that Aspen Brook will share the personal data you have provided with Sponsors for whose advertising you demonstrate an interest and that said Sponsors are permitted to contact you to address your interest. This Privacy Policy applies to all users of, or subscribers to, our (“Services”). Said Services including ALL those listed above in the Introduction and any other Services we introduce now or in the future. Including related sites, apps, communications and the like. Sponsors

We define (“Sponsors”) as members of our community of biotechnology professionals who have a product or service available for purchase. They are distinguished from other users, subscribers, end users and suppliers alike, by the fact that they have paid Aspen Brook to have the opportunity to feature their products and services to our users/subscribers in some form of advertising.

Members of our community of biotechnology professionals (Users and/or Subscribers) can make additions, updates or deletions to their personal data as often as they like by utilizing the Profile Management Form found on this website. This includes the ability to actively manage the extent to which their personal data is available to Sponsors.

Change

Aspen Brook can modify this Privacy Policy, and if we make material changes to it, we will provide notice through our Services, or by other means, to provide you the opportunity to review the changes before they become effective. If you object to any changes, you may add, update or delete your profile by utilizing the Profile Management Form found on this website. You acknowledge that your continued use of our Services after we publish or send a notice about our changes to this Privacy Policy means that the collection, use and sharing of your personal data is subject to the updated Privacy Policy.

You the user and/or subscriber provides the personal data found in your profile. While the majority of our Services require no personal data, that is not always the case. For instances in which we must be able to contact you about a Service, qualify your participation in a Service, enable your subscription to a Service, or provide a means by which our Sponsors can contact you about your interest in a product or service, you will need to provide personal data. When you visit or leave our Services (including our plugins or cookies or similar technology on the sites of others), we receive the URL of both the site you came from and the one you go to next. We also get information about your IP address, proxy server, operating system, web browser and add-ons, device identifier and features, and/or ISP or your mobile carrier. If you use our Services from a mobile device, that device will send us data about your location based on your phone settings. However, we will not use GPS or other tools to identify your precise location.

3. How We Use Your Data

We use your personal data to deliver content you have requested, facilitate the delivery of content you have clicked including content associated with an advertisement, and/or contact you about content you have submitted.

We offer Services that provide customized functionality. We do not provide your personal data to others as part of these Services without your expressed written consent.

3.2 Communications

We will only contact you through email. We will send you messages about the availability of our Services, security, or other related issues. We also send messages about how to use our Services, network updates, reminders, and promotional messages from both us and our sponsors. 3.3 Advertising

We target, and measure the performance of, ads to users of certain of our Services directly or through a variety of service providers, including but not limited to Constant Contact, Mail Chimp and the like using the following data, whether separately or combined:

  • Data from advertising technologies on and off our Services, like web beacons, pixels, ad tags, cookies, and device identifiers;
  • User provided personal data (i.e. email address, first name, last name, company/organization…);
  • Data from the general use of our Services such as search history, feed, content being read, participation, page visits, videos watched, clicking on an ad, etc.;

We will show you ads which may look similar to content, in such cases these will be clearly labeled “Advertising”. Our content will be for the most part discernable by the title under which it appears (i.e. Market Alert, Bioprocess Alert, Patent Alert…). If you take an action, such as click on an advertisement or an embedded link, your action will be associated with your personal data and viewable by others, including the advertiser (Sponsor). Such an action on your part gives the advertiser (Sponsor) permission to contact you to address your expressed interest.

Ad Choices

We adhere to self-regulatory principles for interest-based advertising and participate in industry opt-outs from such ads. This does not opt you out of receiving advertising; you will continue to get other ads by advertisers not listed with these self-regulatory tools. This includes your ability to revoke your consent and/or change your preferences at any time by using the unsubscribe link found at the bottom of Aspen Brook affiliated emails. This link will take you to the Profile Management Form found on this website.

Info to Ad Providers (Sponsors)

We do not share your personal data with any third-party advertisers or ad networks for their advertising except for: (i) hashed or device identifiers, to the extent they are personal data in some countries or (ii) with your separate permission (e.g., submitted forms). Please note, if you click on an ad associated with our Services, whether it be an embedded ad in the Alert, an ad taking the form of an Email, or any other ad associated with our Services, the advertiser (Sponsor) will receive the personal data you have provided. This is done to enable the advertiser (Sponsor) to contact you to address your expressed interest.

3.4 Marketing

We use the personal data you have provided for communications advertising the use of our Services and/or those of our Sponsors.

3.5 Developing Services and Research

Service Development

We use data, including public feedback, to conduct research and development for the further development of our Services in order to provide you and others with a better, more intuitive and personalized experience, drive growth in our number of users and facilitate an improved engagement with our Services and those of our Sponsors.

Surveys

Polls and Surveys are elements of our Services, there is no obligation to participate. If you do participate you are consenting to share your views with users of our Services but not your personal data beyond that which is clearly noted as follows;

For Polls, no personal data is required to be shared.

We use data, which can include your communications with us, to investigate, respond to and resolve complaints and issues arising from our Services.

3.7 Aggregate Insights

4. How We Share Information

How we use your personal data will depend on which Services you use, the manner in which you use those services, and most importantly the choices you make in your Profile regarding the personal data you choose to share. We can only share that personal data which you have provided under circumstances in which you consented to providing it.

Content

Our Services allow the viewing and sharing of information including through submitted content.

  • When you share content (e.g., article, whitepaper, video, image and the like) publicly it can be viewed by everyone and re-shared anywhere.
  • Users, Subscribers and others will be able to find and see your publicly-shared content.
  • Any information you share on our Services will be viewable by others.
  • We let others know when you act on their message, subject to our commitment to act as an intermediary, therein sharing only that personal data you have provided.

4.2 Related Services

We will share your personal data within Aspen Brook to provide and develop our Services. We may combine information internally across the different Services covered by this Privacy Policy to help our Services be more relevant and useful to you and our Sponsors.

4.3 Service Providers

We use others to help us provide our Services, such as maintenance, analysis, audit, payments, fraud detection, marketing and development. They will have access to your personal data as reasonably necessary to perform these tasks on our behalf and are obligated not to disclose or use it for other purposes.

4.4 Legal Disclosures

It is possible that we will need to disclose information about you when required by law, subpoena, or other legal process or if we have a good faith belief that disclosure is reasonably necessary to (1) investigate, prevent, or take action regarding suspected or actual illegal activities or to assist government enforcement agencies; (2) enforce our agreements with you, (3) investigate and defend ourselves against any third-party claims or allegations, (4) protect the security or integrity of our Services, such as by sharing with companies facing similar threats; or (5) exercise or protect the rights and safety of Aspen Brook, our users, personnel, or others. We can also share your personal data as part of a sale, merger or change in control, or in preparation for any of these events. We retain your personal data while you are a user as needed to provide you our Services.

5.2 Rights to Access and Control Your Personal Data

We adhere to well defined methodologies about the collection, use and sharing of your personal data, from adding, updating or deleting the personal information you provide through the use of the Profile Management Form found on this website, and controlling the visibility of your personal data, to advertising opt-outs such as unsubscribes.

We generally add, update or delete personal data within three (3) business days of receipt of a Profile Management Form.

User Closure

If you choose to cease utilizing our Services, your personal data will generally stop being visible to others within three (3) business days. We generally delete user data within 30 days except as noted below;

We retain your personal data even after cessation of our Services if reasonably necessary to comply with our legal obligations (including law enforcement requests), meet regulatory requirements, resolve disputes, maintain security, prevent fraud and abuse, enforce our User Agreement, or fulfill your request to “unsubscribe” from further messages from us. We will retain de-personalized information after your account has been closed.

Information you have shared through submittals will remain visible after you have ceased use of our Services, and we do not control data that other users copied out of our Services. Aspects of your personal data may continue to be displayed in the services of others (e.g., search engine results) until they refresh their cache.

 

6. Other Important Information

6.1. Security

We implement security safeguards designed to protect your data, such as HTTPS. We regularly monitor our systems for possible vulnerabilities and attacks. However, we cannot warrant the security of any information that you send us. There is no guarantee that data may not be accessed, disclosed, altered, or destroyed by breach of any of our physical, technical, or managerial safeguards.

6.2. Cross-Border Data Transfers

We process data both inside and outside of the United States and rely on legally-provided mechanisms to lawfully transfer data across borders. Countries where we process data may have laws which are different, and potentially not as protective, as the laws of your own country.

6.3 Lawful Bases for Processing

We will only collect and process your personal data where we have lawful basis. Lawful basis include consent (where you have given consent), contract (where processing is necessary for the performance of a contract with you or a Sponsor, such as to deliver our Services you have requested) and “legitimate interests”.
